Besides a Calendar, what are commonly used/considered "must haves" programs useful for Digital Project Management, to keep updated on ETA of numerous sub-projects to a larger project? (I hope that makes sense).

I want something where files, notes, appointments and updates can be made and be securely shared between each other.

Example: Weekly meeting date and review with graphic designer/ Weekly meeting date and wireframe files from Web Developer/ Weekly status update notes for my meeting with executives & board members.
